I. POSITION OVERVIEW

The Sales and Marketing Assistant provides support for corporate group sales, international marketing efforts, cooperative partnership sales efforts and website maintenance. Responsibilities include supporting various sales and marketing initiatives including administrative support for tracking and reporting measurable annual goals. This position provides sales and administrative support and reports to both the Director of Sales & Marketing (DOSM) and the Website and Digital Marketing Director (WDMD).

The candidate should have experience providing sales support and enjoy providing customer service. A priority for this position will involve database management, sales and marketing activity coordination, email marketing, and administrative support. III. DUTIES

This position is the point person implementing database entry with Simpleview on a daily basis for data processing related to the following efforts: group sales, international marketing and cooperative marketing.

Sales Support – Corporate/Group and International Marketing Efforts

  1. Inquiry Response: Support Director of Sales & Marketing (DOSM) in responding promptly to group inquiries on a timely basis. Emphasis on collecting all pertinent information needed to facilitate lead distribution, tracking and follow up.
  2. Trade Show Coordination: Support DOSM in preparing for trade show participation including coordination of collateral materials and giveaways, cooperative coordination with partners and shipping of needed supplies and materials. Follow up duties include prompt data entry of leads garnered from trade shows to support DOSM follow up emails.
  3. Familiarization and Site Tours: Support DOSM in coordination of familiarization and site tours for visiting clients – development of itineraries, correspondence with partners to confirm appointments, and preparing collateral materials and gift bags.
  4. Client services such as distribution of travel guides, maps, teambuilding information, restaurant referrals, and other services that will enhance their event.
  5. Support DOSM in preparing monthly sales and marketing activity report.
  6. Support DOSM in developing quarterly Meetings E-Newsletter.
  7. Compile and send out wedding packets.
  8. Participate in team approach for content creation of blogs and videos related to meetings and international marketing efforts.
  9. Work in collaboration with DOSM and Social Media Director to develop relevant posts for Visit Santa Cruz County LinkedIn and @MeetSantaCruz Twitter accounts.

Sales Support – Cooperative Marketing

  1. Provide administrative support to the DOSM to update and develop sales correspondence, update forms, create mail merges and implement cooperative program email outreach for 5-6 programs a year.
  2. Facilitate continued data input of sales contact lists on the database and in email lists for cooperative marketing sales efforts.
  3. Populate Simpleview with new partner listing information and current partner listing updates in a timely manner.
  4. Follow up with new partners to make sure they are informed about benefits of partnership, portal log-in credentials and to inform VSCC staff about new partners.
  5. Assists preparing presentations including charts, Power Point presentations and preparing and proofing reports as needed.
  6. Oversees processing of paperwork and client information for new digital listing partners throughout the year including establishing database presence with listing and photography.
  7. Periodic development of program related email lists and e-blast development for VSCC marketing programs and meetings.

Website Maintenance

  1. Support Website/Digital Marketing Director (WDMD) with ongoing website updates such as adding or fixing broken links, HTML updates, resizing photographs and making minorchanges such as text updates.
  2. Support quarterly review of content on Meetings and Weddings section of the website incollaboration with WDMD and the DOSM.
  3. Complete assigned tasks from WDMD for needed updates based on weekly reports from Monsido addressing SEO priorities including Spellcheck Summary.
  4. Support ongoing web checks as needed.

Additional Duties

  1. Serve as primary contact for group sales and international marketing inquiries in the DOSM’s absence.
  2. Presentation and stakeholder meetings preparation.
  3. Other duties as assigned.

IV. INTERNAL RELATIONSHIPS

Reports to Director of Sales and Marketing and Website and Digital Marketing Director.

V. EXTERNAL RELATIONSHIPS

Interfaces with TMD members, cooperative marketing partners, creative content vendors, and regional and state tourism organizations.
