SALES & MARKETING ASSISTANT/COMMUNITY LIAISON

I. POSITION OVERVIEW

The Sales and Marketing Assistant & Community Liaison provides support for corporate group sales; international marketing efforts; cooperative partnership sales efforts; and website maintenance. Responsibilities include supporting various sales and marketing initiatives including administrative support for tracking and reporting measurable annual goals. This position provides sales and administrative support and reports to both the Director of Sales & Travel Trade (DOSTT) and the Director of Interactive Marketing & Analytics (DOIMA).

QUALIFICATIONS

The employee will be organized and enjoy being challenged by working on a variety of duties and deadlines on any given day. The employee should have experience providing sales support and enjoy providing customer service. A priority for this position will involve database management, sales and marketing activity coordination, email marketing, and administrative support. Candidate should also have the ability to lift up to 50 pounds, as well as to reach above head to access office supplies.

DUTIES

This position is the point person implementing database entry daily for data processing related to the following efforts: group sales, international marketing, cooperative marketing, CRM upkeep and website maintenance support.

Sales Support – Corporate/Group and International Marketing Efforts

  • Inquiry Response: Support the DOSTT in responding promptly to group inquiries.
  • Trade Show Coordination: Support DOSTT in preparing for trade show participation.
  • Familiarization and Site Tours: Support DOSTT in the coordination of familiarization and site tours for visiting clients
  • Client services such as distribution of travel guides, maps, teambuilding information, restaurant referrals, and other services that will enhance their event.

Sales Support – Cooperative Marketing & Community Liaison

  • Provide administrative support to the DOSTT to update and develop sales correspondence.
  • Facilitate continued data input of sales contact lists on the database
  • Populate the database with new partner listing information and continually update and upkeep current partner listing promptly.
  • Follow up with new partners to make sure they are informed about the benefits of partnership, and portal log-in credentials. Inform Visit Santa Cruz County (VSCC) staff about new partners.
  • Periodic development of program-related email lists and e-blast development.
  • Increase visibility and understanding of the work done at VSCC through community outreach.

Website Maintenance

  • Support the Director of Interactive Marketing & Analytics with ongoing website updates such as:
    • Adding/fixing 404 errors, broken links, redirect chains, and more
    • Updating/resizing/removing photography, video, file assets on website
    • Making content/description changes on landing pages
    • Updating hero banner quarterly and main hero banner on home page to ensure seasonality
    • Updating blog carousel monthly/quarterly to ensure seasonality
    • Upkeeping all partner related data on website and proofing for accuracy
  • Support in sales and marketing programs ensuring partners have visibility on site and are operating and tracking data
  • Support in Monsido upkeep of the database for SEO priorities and track all changes
  • Act as the backup for the Events Calendar on site and source local events.
  • Act as the backup for the web checks conducted by the Visitors Center staff.

ADDITIONAL DUTIES

  • Other duties as assigned.

INTERNAL RELATIONSHIPS: Reports to the Director of Sales and Travel Trade and Director of Interactive Marketing & Analytics.

EXTERNAL RELATIONSHIPS: Interfaces with Tourism Marketing District members, partners in tourism, creative content vendors, and regional and state tourism organizations.
